The Gmail Cleanup Checklist
10 concrete steps to go from an overflowing Gmail inbox to inbox zero — with exact search operators, one-click links, and what each step actually removes.
Automate Steps 1–6 in 2 MinutesPrint-friendly tip
This checklist works best as a reference you run through once. Bookmark this page or print it (Ctrl+P / Cmd+P) and check off each step as you go. Most people complete steps 1–7 in under 30 minutes.
Delete Promotions older than 1 year
Promotional emails have a shelf life. Anything in your Promotions tab older than a year is definitively useless — expired offers, past sales, discontinued products.
This single search removes thousands of emails in most inboxes.
Delete Social notifications older than 90 days
Facebook likes, LinkedIn connection requests, Twitter mentions — social notifications have no value after a few days. Delete everything older than 90 days unconditionally.
Social notifications are often the second-largest email category.
Delete Updates older than 90 days
App notifications, account alerts, security digests — the Updates category fills up silently. Old updates are never needed.
Most people find hundreds to thousands of updates from a single app.
Unsubscribe from newsletters not opened in 3 months
If you have not opened a newsletter in 3 months, you are never going to open it. Unsubscribing takes 10 seconds and prevents the same emails from arriving forever. Use the Unsubscribe link at the top of each Gmail marketing email.
Prioritize high-frequency senders (daily or weekly emails).
Delete emails from your 5 highest-volume junk senders
In most inboxes, 5-10 senders account for 50%+ of total email volume. Sort your inbox by From, identify the top junk senders, then search each address and delete everything.
Repeat for each of your top 5 junk senders.
Empty Trash and Spam folders
After bulk deleting, emails sit in Trash for 30 days. Click Empty Spam Now in the Spam folder, and Empty Trash Now in Trash. This permanently clears deleted mail and reclaims storage.
Also reclaims Google storage — emails in Trash still count against your 15GB.
Archive everything older than 30 days in your inbox
If an email has been in your inbox for more than 30 days without action, it is not going to get actioned. Archive it — this moves it out of your inbox while keeping it fully searchable.
Archiving is reversible. Archive aggressively.
Create a Receipts label and filter
Gmail Settings → See all settings → Filters and Blocked Addresses → Create a new filter. Match: invoice OR receipt OR "your order" OR "order confirmation". Action: Apply label "Receipts", Skip Inbox. Future receipts arrive labeled and out of the way.
This prevents receipts from cluttering your inbox while keeping them findable.
Mute all group threads you are CC'd on
Email threads where you are CC'd but not the primary recipient keep arriving with every reply. Gmail mute (keyboard shortcut: M) removes a thread from your inbox and prevents future replies from reappearing. The thread stays searchable.
Look for threads with 10+ participants or "all@" style address lines.
